Weekly Digest Emails for Schedules and Onboarding
Weekly digest emails provide a consolidated view of upcoming schedules, onboarding compliance, and scheduling readiness, helping you track required actions without reviewing individual updates in the platform.
Digest emails are sent only when relevant data is available and include schedules starting within the next 45 days. The content is state-based, meaning items are removed once the required action is completed.
Onboarding and Compliance Digest
This digest provides a consolidated view of upcoming schedules that are not fully compliant due to pending onboarding requirements.
The email is designed to help you quickly identify non-compliant schedules and understand who needs to take action.
- The email begins with a summary section, highlighting:
- Total upcoming schedules
- Non-compliant schedules
- Breakdown by action owner (School, Student, CI / Faculty)
- It then directs you to a detailed Excel attachment, where schedules are grouped based on the action required:
- School action required – Includes individual and group schedules where the school must complete onboarding requirements
- Student action required – Includes student-level schedule entries requiring onboarding completion
- CI / Faculty action required – Includes group schedules where CI or Faculty must complete requirements
- Each entry in the Excel file includes:
- Experience type (Individual or Group)
- Schedule ID or Group name
- Student or CI / Faculty details
- Site and location
- Schedule duration
- Action (View) link
- The View link is available within the Excel file and allows you to directly open the relevant onboarding screen in Exxat One to complete the required actions.
Scheduling and Confirmation Digest
This digest highlights schedules that require action before their start date to ensure they are fully assigned and confirmed.
The email is organised to help you quickly identify gaps in student assignments and confirmations.
- The email begins with a summary section, displaying:
- Total upcoming schedules
- Schedules with no students assigned
- Schedules with students pending confirmation
- It then refers to a detailed Excel attachment, where schedules are grouped into:
- Student assignment pending – Schedules with no students assigned
- Student confirmation pending – Schedules where students are assigned but not confirmed
- Each entry in the Excel file includes:
- Schedule ID
- Student details (if applicable)
- Site and location
- Experience type (Individual or Group)
- Schedule duration
- For schedules with no students assigned, each entry includes a View link within the Excel file, allowing you to directly open the schedule and proceed with the assignment.
- For schedules with students pending confirmation, a navigation link is provided in the email body to access the Schedules list screen, where you can review and complete confirmations.
