What’s New in This Release
This release introduces significant enhancements across scheduling, onboarding, reporting, and placement management workflows in Exxat One. Schools can now manage all student schedules from a unified workspace, take action on assignments and onboarding more efficiently, and benefit from a redesigned landing page focused on operational workflows rather than navigation.
The release also includes improvements to group schedule management, onboarding record maintenance, requirement review workflows, reporting capabilities, and document management. Smarter Auto-Selection in Slot Requests
To simplify slot request creation and reduce repetitive data entry, Exxat One now automatically selects dropdown values when only one valid option is available.
- Automatically selects the only available value in applicable mandatory fields such as Discipline, Specialisation, Location, Preceptor, Shift, and Days of Week.
- Dynamically responds to Discipline selections by auto-selecting the associated Specialization and program type when only one option is available.
- Continues to support existing validation and field-selection behaviour while allowing users to modify selections when needed.
- Applies within the Slot Request workflow to help users complete requests more quickly and efficiently.
This enhancement streamlines slot request submission and reduces unnecessary clicks when only one valid selection is available.
Manage All Student Schedules from a Unified Experience
We're introducing a new All Schedules experience that brings together student schedules across both Individual and Group placements into a single, centralised workspace.
Previously, users often needed to move between different schedule views to track assignments, confirmations, onboarding progress, and schedule readiness.
The new experience serves as the central destination for schedule management, helping schools manage schedules more efficiently throughout the placement lifecycle.
- A new All Schedules tab brings Individual and Group schedules together in a single view, providing a unified experience for managing student schedules.
- Schedule-related dashboard widgets and summary cards now direct users to the All-Schedules experience with relevant filters automatically applied, helping users quickly investigate schedule counts and take action.
- New Needs Attention cards surface schedules that require immediate follow-up, including pending student assignments, pending confirmations, and onboarding compliance issues.
- Schools can now confirm students directly from the All-Schedules experience, either individually or through bulk actions, making it easier to move schedules forward without navigating to separate workflows.
- A new Remind to Onboard action allows schools to send onboarding reminders directly from the schedule management experience, helping students stay on track with onboarding requirements.
- Schedule Status and Onboarding Status indicators are now actionable, allowing users to quickly navigate to the relevant workflow and address issues faster.

The Group Schedules experience has been completely redesigned to provide a more scalable and efficient way to manage group placements from assignment through onboarding and compliance.
This release replaces the previous nested schedule structure with a streamlined, group-first workflow that improves visibility, reduces navigation, and centralizes key scheduling activities into a single experience.
The redesign focuses on helping schools quickly understand group readiness, identify pending actions, and manage students, instructors, onboarding, and communication from one place.
- Group schedules now use a simplified grid experience that provides a clearer view of group placements, assignment progress, onboarding readiness, and overall schedule status.
- A new flat, group-first layout makes it easier to review and manage group schedules at scale without navigating through multiple nested records.
- New Needs Attention cards surface groups that require immediate action, including unfilled slots, pending confirmations, instructor-related actions, and onboarding compliance issues. Selecting a card automatically filters the grid to the relevant schedules, helping users move directly from insight to action.
- Group Schedule IDs, Group Names, Group Members, slot utilization, instructor information, onboarding status, and overall schedule readiness are now surfaced more clearly within the overview experience.
- New group-level schedule and onboarding indicators provide immediate visibility into assignment progress, confirmation status, instructor readiness, compliance status, and outstanding actions.
- Schools can now quickly identify groups that still require student assignments, student confirmations, instructor assignments, instructor invitations, or onboarding follow-up through centralized status indicators and action-oriented workflows.
- A new Group Member Details Drawer serves as the primary workspace for managing group schedules. Schools can assign students, add and invite instructors, confirm students, send onboarding reminders, monitor compliance, review schedule details, and manage communications without leaving the group workflow.
- A new progress tracker highlights the three key stages of group readiness — Slots, Confirmation, and Compliance, making it easier to understand what actions are still required before a group is fully placement-ready.
- Student assignment and student confirmation workflows are now more closely connected, allowing schools to move students through the scheduling process more efficiently.
- Enhanced instructor management workflows make it easier to identify instructors who still need to be assigned, invited, onboarded, or followed up with.
- Bulk actions support faster management of large group placements, including student confirmations, onboarding reminders, instructor invitations, and instructor onboarding reminders.
- Integrated messaging provides greater visibility into communications with students, instructors, and sites directly within the group workflow.

Redesigned Group Schedule Experience for Clinical Instructors
Clinical Instructors now have access to the redesigned Group Schedules experience, including the new group overview and Group Details drawer. The updated experience provides improved visibility into assigned students, onboarding progress, and schedule readiness, while also enabling Clinical Instructors to seamlessly access the onboarding screen to complete and manage their own onboarding requirements. The experience continues to maintain a read-only view for student and schedule management activities appropriate to the instructor role.
Standardized Schedule Cancellation Reasons
We're introducing standardised cancellation reasons for Individual and Group schedules to improve consistency, reporting accuracy, and visibility into why schedules are being cancelled.
- Schools must now select a cancellation reason when cancelling a schedule.
- Standardised school-specific reasons are available, including student withdrawal, scheduling errors, compliance issues, site-requested cancellations, and more.
- Users can optionally add additional context to support the selected reason.
- Schedule status displays now include the cancellation source (School or Site) and selected reason.
- Schedule Details include a cancellation summary showing the reason, cancellation date, and the user who cancelled the schedule.
- Cancellation reasons are now available in filters, exports, and reports for easier tracking and analysis.
Structured cancellation reasons help schools better understand cancellation trends, improve reporting accuracy, and identify common scheduling, compliance, or placement-related challenges.
Quickly Access Schedules from Approved Requests
We're making it easier to move from request management to schedule tracking by introducing a new View Schedules option within Approved Requests.
- A new View Schedules option is now available within Approved Requests.
- Selecting View Schedules takes users directly to the new All Schedules experience.
- The associated Request ID is automatically applied, displaying all schedules created from that request.
- Users can modify or clear the applied Request ID filter to continue exploring schedules.
- The experience supports both Individual and Group schedules, providing a seamless transition from approved requests to schedule management.
Schools can quickly move from an approved request to the schedules created from it, making it easier to track student assignments, confirmations, onboarding progress, and overall schedule readiness without manually searching across schedules.
A Redesigned Landing Page Built Around Your Placement Journey
We're introducing a redesigned school landing page that transforms the experience from a discovery-focused dashboard into a guided operational workspace.
The new landing page helps schools navigate the placement lifecycle more efficiently by surfacing important actions, providing workflow guidance, and making it easier to discover and manage placement opportunities from a single location.
- A new Your Tasks section highlights actions that require attention, including student assignments, schedule confirmations, onboarding compliance activities, instructor-related actions, and overdue requests.
- Dynamic action cards help schools quickly identify priorities and navigate directly to the relevant schedules, onboarding workflows, and request management screens.
- A new Master Your Placement Journey section provides step-by-step guidance across key workflows, with quick access to tutorials, help guides, and commonly used actions.
- First-time users are guided through a new onboarding experience that introduces the complete placement journey, from discovering availabilities and submitting requests to confirming schedules and managing onboarding.
- The enhanced Discover Availabilities section surfaces recommendations, bookmarks, and newly published opportunities directly from the landing page.
- Direct access to key workflows, including requests, schedules, onboarding, Wishlists, and Prism-related actions, helps users move more efficiently through the placement process.
- A new Connect With Us experience provides quick access to support resources and account manager information.

Enhanced Schedule-Level Summary Reporting
We've expanded the Schedule-Level Summary Report to provide additional academic and placement information directly within the report, giving schools greater visibility into key schedule and program details.
- The report now includes Rotation Number, Semester, Program Type, and Graduation Month & Year.
- Program Type can now be used as a filter, making it easier to analyse schedules across different programs.
- The new fields are available in both the report view and exported reports.
These enhancements provide schools with easier access to important academic and placement information, helping streamline reporting, schedule tracking, and program analysis.
Program Type Reporting Enhancements
We're introducing Program Type visibility within key school reports, providing additional academic context and making it easier to analyse schedules and requests.
- A new Program Type column has been added to:
- Schedule-level Summary Report
- Comprehensive Slot Request Report
- Program Types are displayed alongside their associated disciplines, making it easier to identify the academic programs connected to schedules and requests.
- Support has been added for displaying multiple Program Types and sub-program types where applicable.
- A new Program Type filter helps schools quickly locate and review relevant records.
- Program Type information is now included in report exports for improved reporting and analysis.
Program Types play an important role in understanding placement activity across different academic pathways. By surfacing Program Type information directly within reports, schools gain better visibility into schedules and requests while improving reporting accuracy and data analysis.
Upload New Records for Approved Requirements
We're making it easier to keep onboarding records up to date by allowing users to submit a new record even when a requirement or activity is already in Approved status. This helps users proactively replace documents before they expire or submit updated information without waiting for a requirement to become expiring or expired.
- Add New Record is now available for onboarding requirements and activities in Approved status.
- Users can start a new submission directly from both the onboarding list view and the requirement detail view.
- Before creating a new record, users will see a confirmation message explaining that the currently approved record will be archived once the replacement record is approved.
- Selecting Add Record opens a new blank submission, allowing users to upload documents, update information, save drafts, and submit as part of the standard onboarding workflow.
- Existing approved records remain active while the new submission is in progress and under review.
- Once the new submission is approved, the newly approved record becomes active, and the previous approved record is automatically archived.
- A new Archived Records option provides access to historical versions of previously approved records.
- Archived records are available in read-only mode and retain historical details, uploaded documents, attestations, submission history, approval information, and expiration details.
- Users can preview or download archived files based on their permissions.
- The Add New Record option will not be available for requirements associated with completed placements, even if the requirement is currently in Approved status.
Users often need to replace approved documents before they expire or submit updated information to maintain compliance. This enhancement provides a more flexible onboarding experience while preserving historical records for audit, compliance, and reference purposes.
In-App Viewing for Requirement Templates and Samples
We're making it easier for schools to review onboarding requirement templates and sample documents. Supported files can now be viewed directly within Exxat One, providing faster access to reference materials without requiring downloads.
- Templates and sample documents can now be previewed directly within Exxat One for supported file types.
- A new View option is available alongside the existing Download option.
- Supported documents open within the platform, eliminating the need to download files before reviewing them.
- Unsupported file types display a message indicating that preview is unavailable, with the option to download the file instead.
- Download functionality continues to be available for all documents.
- The latest uploaded template or sample is displayed whenever the document is reopened.
Schools often review templates and sample documents while managing onboarding requirements. In-app document viewing provides quicker access to required materials, reduces unnecessary downloads, and streamlines the onboarding review process.
Improved Template and Sample Document Organization
We're improving the onboarding experience by making it easier to identify and access supporting documents within onboarding requirements. Templates and samples are now displayed in separate sections, providing greater clarity when reviewing requirement instructions and reference materials.
- Templates and Samples now appear under separate headers within onboarding requirements.
- Template documents are displayed in a dedicated Templates section.
- Sample documents are displayed in a dedicated Samples section.
- Existing document actions, including View and Download, continue to work as they do today.

Separating templates from sample documents makes onboarding requirements easier to understand and navigate. School users can more quickly identify the correct documents to review, reducing confusion and improving the overall onboarding experience.
