What’s New in This Release
This release introduces several enhancements that help schools manage schedules more efficiently, improve reporting, and streamline onboarding communication. Schools can now manage unfilled slots directly within group schedules, assign students more efficiently with an enhanced group scheduling experience, and reduce manual follow-up through automatic reminder notifications for users awaiting their first login. A redesigned Schedule Calendar provides an intuitive visual experience for planning and managing schedules across month, week, and day views, with powerful filtering, actionable insights, and quick access to schedule details. Reporting has also been enhanced with richer cancellation insights, additional placement timeline fields, and consistent status indicators across reports. In addition, students now receive a single notification when they become fully compliant, creating a more meaningful onboarding notification experience.

Revamped Schedule Calendar Experience

Managing schedules is now more intuitive with a redesigned Schedule Calendar that provides a comprehensive visual view of placements across month, week, and day. The new experience combines flexible calendar views, powerful filtering, actionable insights, and quick access to schedule details, helping coordinators monitor activity and prioritize work more efficiently.
- Access a dedicated Calendar tab within Schedules, making it easy to switch between list and calendar views.
- View schedules using Month, Week, or Day layouts to plan placements at the level of detail that best fits your workflow.
- Quickly identify busy days with visual schedule summaries and overflow indicators that display additional schedules when a day contains more placements than can be shown.
- Monitor schedule activity through dynamic summary cards and busiest-day highlights that automatically update as you navigate between dates or apply filters.
- Filter calendar data using Location, Discipline, Shift, Experience Type, School, Onboarding Status, and Schedule Status, with filter selections retained when switching between calendar views.
- Open any schedule directly from the calendar or Insights panel to view and manage schedule details using the existing schedule side panel, providing a consistent experience across the platform.
- View daily schedules in a structured hourly timeline, making it easier to understand schedule distribution throughout the day while keeping complete schedule details visible.
The redesigned Schedule Calendar gives sites a faster, more visual way to plan, monitor, and manage schedules, helping coordinators identify priorities, navigate busy periods, and take action without leaving the calendar.
Automatic Reminder Notifications for Users Awaiting First Login
Exxat One now automatically reminds students and Clinical Instructors (CIs) to access their confirmed schedules if they have not completed their first login to Exxat One after receiving their initial schedule confirmation notification. This reduces manual follow-up for schools while encouraging users to begin onboarding sooner.
- Exxat One Automatically resend the existing Schedule Confirmation or Schedule Invitation email if a student or Clinical Instructor has not completed their first login within 48 hours.
- Continue sending reminder emails every 48 hours until the user's first login is completed.
- Apply the reminder workflow to students in Individual and Group schedules, as well as Clinical Instructors assigned to Group schedules.
By automatically reminding users awaiting their first login, Exxat One helps schools reduce manual follow-up efforts and encourages timely onboarding and schedule engagement.
View and Manage Unfilled Slots in Group Schedules
Schools can now view, manage, and cancel unfilled slots directly within the Group Details drawer, making it easier to keep group schedules up to date while streamlining student assignment and unfilled slot management.
- View unfilled and canceled unfilled slots directly from the Group Details drawer using the new Show Unfilled Slots toggle.
- Assign students to unfilled slots without leaving the group.
- Cancel unfilled slots using the existing cancellation workflow, including cancellation reason capture.
- Continue messaging for unfilled slots directly from the group using existing messaging capabilities.
- Keep schedule updates synchronized between the Group Details drawer and All Schedules, ensuring consistent schedule status, cancellation details, and messaging across both experiences.
By enabling unfilled slot management directly within group schedules, Exxat One simplifies scheduling workflows and helps schools manage placements more efficiently.
Improved Student Selection for Group Schedules
Scheduling students in group schedules is now faster and more intuitive. Exxat One enhances the student selection experience for both Prism and Non-Prism schools by making it easier to find existing students, assign multiple students at once, and identify students using their email addresses.
For Non-Prism Schools
- Select students from the list of historically scheduled students directly within the Schedule Students popup in the Group Details drawer.
- Search for students by name or email to quickly find the right student.
- Assign multiple students simultaneously using the new multi-select experience.
- Continue adding new students manually when needed using the existing Add Student Manually option.
- Automatically disable student assignment controls once all available slots have been filled, helping prevent over-assignment.
For Prism Schools
- View student email addresses within the Select Prism Student dropdown for easier student identification.
- Assign multiple Prism students simultaneously using the enhanced multi-select experience in group schedules.
- Continue using the existing manual student addition option when required.
- Automatically disable student assignment controls once all available slots have been filled.
Additional Enhancement
- Student email addresses are now also displayed in the Select Prism Student dropdown when assigning students from All Schedules and Individual Schedules, providing a more consistent scheduling experience.
These enhancements simplify student assignment, improve student identification, and create a more consistent scheduling experience across group and individual scheduling workflows.
Enhanced Cancellation Insights in the Schedule-Level Summary Report
The Schedule-Level Summary Report has been enhanced with additional cancellation details, giving schools greater visibility into cancellation activity and improving reporting for operational and audit purposes. These enhancements help schools better understand cancellation patterns and identify who initiated each cancellation.
- View the Reason for Cancellation for each canceled schedule.
- See when the schedule was canceled with the new Canceled On field.
- Identify whether the cancellation was initiated by the School or the Site using the Canceled By field.
- View the email address of the user who performed the cancellation.
- Filter the report by Reason for Cancellation to quickly analyse cancellation trends.
- When viewing the report, the Cancellation Reason and any associated remarks are displayed together for easy reference.
- When exporting the report to Excel, the Cancellation Reason and Remarks are separated into individual columns. Similarly, Canceled By and User Email are also exported as separate columns, making it easier to filter, sort, create pivot tables, and perform detailed operational analysis.
With richer cancellation reporting and export capabilities, schools can more effectively analyse cancellation trends, support operational reviews, and make data-driven planning decisions.
Track Placement Progress with Approval and Confirmation Dates
The Schedule Level Summary Report now includes Date of Approval and Date of Confirmation columns, giving schools greater visibility into the placement lifecycle. These additions make it easier to track when requests were approved and when placements were confirmed, helping support operational reporting and timeline analysis.
- View the Date of Approval to see when a slot request was approved.
- View the Date of Confirmation to see when the placement was confirmed.
- Sort and filter reports using both date fields to quickly identify schedules within specific timeframes.
- Include both fields in exported reports for easier reporting and analysis in Excel.
- Show or hide these columns using the report's column configuration options to customize your view.
By providing key placement milestones in a single report, schools can better monitor turnaround times, improve reporting, and gain greater visibility into the placement lifecycle.
Consistent Status Indicators Across Reports
Reports now use the same color-coded status indicators found throughout Exxat One, making it easier to interpret report data at a glance. By aligning report statuses with the rest of the application, you can quickly identify the progress and current state of requests, schedules, and onboarding activities using familiar visual cues.

Smarter Onboarding Compliance Notifications
To reduce notification fatigue and highlight meaningful milestones, students will no longer receive a notification each time an individual onboarding requirement is approved. Instead, they will receive a single notification when all required onboarding requirements have been completed and approved, and they become fully compliant.
- Individual notifications for approved onboarding requirements are no longer sent.
- Receive a single notification when your onboarding status changes to Fully Compliant.
- Get notified only after all required onboarding requirements have been completed and approved.
- Receive the notification again if your compliance expires and is later regained after meeting all requirements.
- View the milestone through both email and in-app notifications.
By notifying students only when they achieve full compliance, Exxat One delivers a cleaner, less distracting notification experience while ensuring important onboarding milestones are never missed.
Quickly Navigate to Schedule Details from Reports
Reports are now more interactive, allowing you to quickly navigate to schedule details directly from supported reports. By making Schedule IDs clickable, Exxat One reduces manual searching and helps you investigate and manage schedules more efficiently.
- Click a Schedule ID to open the corresponding schedule details.
- Schedule details open in a new tab, allowing you to continue working without losing your place in the report.
- Navigation respects user permissions, ensuring users only access schedules they are authorised to view.
