We’re excited to introduce new enhancements in Exxat One for Schools that will optimize your scheduling workflows, improve filtering and search capabilities, and simplify the management of onboarding and availability. These updates are designed to help you navigate schedules more efficiently, ensure smooth communication with students, and streamline onboarding and notification management.
Enhanced Schedule Status Segregation & Filtering
We've enhanced the way you view and filter schedule statuses, providing clearer insights into scheduling and onboarding progress. The status column is now divided into two separate columns: Schedule Status and Onboarding Status.
Schedule Status Options:
- To be Scheduled: Schedule created but no student has been assigned to it.
- Not Confirmed: Schedules where students have been assigned but not confirmed yet.
- Confirmed: Schedules on which the students have been confirmed by you.
- Canceled: Schedules canceled by you or the site.
Onboarding Status Options:
- Not Applicable: The student is not yet confirmed on the schedule.
- Non-Compliant: Onboarding or other requirements are incomplete or not approved.
- Compliant: All onboarding requirements are successfully fulfilled and approved.
Filtering Enhancements:
You can now filter schedules by Schedule Status (To be Scheduled, Not Confirmed, Confirmed, Canceled) and Onboarding Status (Non-Compliant, Compliant, Not Applicable), making it easier to manage and track your schedules.
Re-confirming Student Schedules
You now have the option to reconfirm a student who is already confirmed on a schedule. This will resend the confirmation email to the student, ensuring they receive the necessary updates about their schedule and can log in to complete their onboarding requirements.
- Now, you can select the checkbox against the respective student schedule and click on the "Reconfirm Student" button.
- This will trigger the confirmation email to the student, prompting them to log in and start their onboarding process.
This ensures that students stay on track and receive all essential updates about their schedules.
Improved Filtering & Search Experience
We have enhanced filtering and search functionalities across multiple screens to improve efficiency and user experience.
Filter Dropdown Enhancements:
- All filter values are now completely visible inside the dropdown, eliminating the need for tooltips.
- Selected items now show clearly within the filter, along with the total count of selected items.
- A Clear Selection button is available to deselect all items quickly.
- A Select All button allows you to select all items within a filter instantly.
- A Reset button lets you clear all applied filters in one click.
Retaining Filters and Search Results:
- When applying filters or performing a search on any screen, your selections will now remain consistent, even after navigating to another page and returning.
- Your filters and search results will be saved, allowing you to seamlessly pick up right where you left off.
Enhancements in Key Screens:
- Schedules & Onboarding Screen:
- Added Schedule ID column in the grid, displaying a unique ID associated with each schedule for better tracking.
- Explore and Apply Screen:
- You can now search by location address, in addition to location name, in the search bar on the Explore and Apply screen, enabling you to view availabilities at the specified address.
- Your discipline is now pre-selected in the discipline filter based on your program, ensuring that only relevant availabilities are shown by default. You can still adjust the discipline filter to suit your preferences.
Landing Page & Map Screen Enhancements
We’re introducing a Landing Page on Exxat One for Schools, designed to make it easier for you to explore and apply for availabilities.
Landing Page Features:
- View key stats about the Exxat One network.
- Apply filters for Location, Site, Date Range, Discipline & Specialization and initiate searches directly from the landing page.Note: Your discipline will be pre-selected in the discipline filter based on your program.
- Access your Bookmarked Opportunities in dedicated card views.
- Get Recommended Availabilities tailored for you.
Map Screen Enhancements in Explore & Apply for Availability Page:
- Clicking on availability cards under the “All Opportunities” list now opens a detailed Opportunity Details panel, displaying key information such as:
- Site Name, Availability Name, Duration, Due date, Shift Timings, Days of the week, Discipline/Specializations, Locations/Units, Program, Student year and Onboarding Requirements.
- You can save the opportunity directly from this panel and make a slot request by clicking the Request slots button in the panel.
- You can also view the list of your previous requests on the availability at the right side of the panel and the status view of your requests in the My Requests section.
- Interactive Map View: Clicking on location pins now opens an interactive availability card view directly on the map.
- If multiple availabilities exist at a location, you can use side arrows to browse through them in the card itself.
- Clicking the View Details button on the card will open the Opportunity Details panel.
Integration with Exxat Prism - Add Schedule Details
You can now add your Exxat One schedule details to Prism, allowing you to create a slot or placement in Prism and perform other course-related activities seamlessly in Exxat Prism.
- Click "Open Prism" on the Schedules and Onboarding screen to process your schedules into Prism.
- The Prism Process Status column has been introduced in the grid view of Schedules and Onboarding screen:
- To Be Added: The schedule has not yet been added to Prism.
- Added To Prism: The schedule has successfully been added to Prism.
Customizable Notification Preferences
This feature will go live on March 4th, 2025.
You now have greater control over how you receive notifications! Under Notification Configuration, you can enable or disable email and in-app notifications according to your preferences.
Notification events are now categorized under the following categories:
- Messages: Communication-related notifications.
- Slot Requests: Slot approvals, updates, and requests.
- Schedules: Schedule updates, cancellations, and changes.
- Onboarding: Notifications related to onboarding requirements.
Customization Options:
- Enable/disable all notifications for a category with one click.
- Configure preferences for individual notification events within each category.
- Ensures you only receive the most relevant updates, reducing clutter in your inbox while keeping you informed.

Submitting Group-Level Onboarding Requirements
We’re introducing the ability to submit group-level onboarding requirements, streamlining the compliance process for group schedules. You can now fulfill group-level onboarding requirements and attestations for the entire group, covering students, clinical instructors, or both, depending on the site’s configuration.
Fulfilling Group-Level Onboarding Requirements
- On the Schedules and Onboarding screen under the Group Schedules tab, you see the group-level onboarding status displayed as Non-Compliant when the schedule is created.
- You can now click on the group-level status to open the Onboarding Requirements page, where you will see the group-level onboarding requirements categorized into sections for students, clinical instructors, or both, depending on the site’s configuration.
- You can fulfil the required attestations or documents on behalf of the group, ensuring compliance for all scheduled students and/or instructors in a single step.
- Once approved, the group-level onboarding requirement will be fulfilled, contributing to the compliance status of the entire group.
Note:
- Group-Level Requirements or Attestation does not replace individual onboarding requirements. Students and clinical instructors must still fulfil their own individual onboarding requirements to be fully compliant.
- The overall group-level onboarding status eventually turns into Compliant when all individual and group-level requirements are met.
This update makes it easier for you to manage onboarding for group schedules by reducing the need for redundant submissions and ensuring a more efficient compliance process.
