Exxat One for Schools introduces new features designed to provide greater visibility, streamlined workflows, and improved overall user experience for schools, clinical instructors, and students. Key updates include a updated calendar view for schedules, integration with Exxat Prism for course and rotation management, enhanced support for multiple clinical instructors on group schedules, and real-time chat support.
Here are the detailed feature updates:
Introducing Calendar View of Schedules
Schools can now see all the schedules in a calendar view, accessible from the "Schedules and Onboarding" screen. This new feature helps in identifying overlaps, optimizing rotations, and improving overall coordination.
- Detailed Schedule Cards:
- The calendar view shows you all the schedules in a month and corresponding schedule cards spanning across the schedule duration as per a horizontal timeline displaying the months.
- Schedule cards display essential information like Site name, location, schedule dates, and scheduled student name, with direct actions from the calendar for managing the schedule and tracking onboarding progress of students.
- Calendar View Options:
- Get an enhanced experience by toggling between a “Detailed View” and “Compact view” of calendar to view the details on schedule cards as needed.
- Comprehensive Search and Filters: Search by student name and filter schedules by Site, Discipline, Schedule Status and Onboarding Status.
- Clarity for Overlaps: Overlapping schedules are presented clearly with the respective schedule cards spanning across the corresponding dates, giving you an ability to identify any overlaps between the displayed schedule cards.
Integration with Exxat Prism to display the list of rotations and courses from Prism
For schools using both Exxat Prism and Exxat One, you can now integrate your rotations and course offerings directly into slot requests.
- Integrated Rotation & Course Selection: A new "Rotation and Course Details" section on the slot request form allows you to select ongoing and upcoming rotations through an imported list from Exxat Prism.
- Auto-Population of Dates: Selecting a rotation automatically populates the start and end dates on the slot request form, reducing manual data entry.
- Mapped Course Offerings: Once a rotation is selected, the corresponding mapped course offerings from Prism will be available for selection
- "Add New" Option: If you prefer, you can manually add new rotation and course details directly in Exxat One through simple text fields.
Note: The newly added rotation and course details will not be synced to Exxat Prism.
- Enhanced Visibility: The selected rotation and course details will now be displayed in the request and schedule drawers within the "View and Track Requests" and "Schedules and Onboarding" screens, as well as included in the exportable reports for school requests and schedules.
Associating Multiple Clinical Instructors to a Single Group Schedule
This enhancement, particularly for Nursing programs, allows for more flexible supervision structures by enabling the assignment of multiple clinical instructors to a single group schedule.
- Now you can assign multiple clinical instructors to a group schedule during the slot request or while scheduling instructors on the Schedules and Onboarding screen.
- An "Add/Edit" button in the "Clinical Instructor Details" section within the slot request form or the Schedule drawer allows you to easily add more Clinical instructors or edit the details of an already added instructor. The added clinical instructors are displayed in a grid format within the Schedules drawer.
- Scheduled clinical instructors will also be displayed as individual rows within a group schedule in the Schedules grid, with a “Clinical Instructor” tag shown beneath their names.
- All scheduled instructors will be visible to the students, site, and the clinical instructors.
Chatting with a Support Agent
Get instant support with the new in-product chat feature, providing real-time assistance and a direct line to our support team.
- Direct Chat Access: A new "Chat with agent" icon in the top navigation bar provides immediate access to support.
- If support agents are online, you can initiate a live chat to get your questions resolved quickly, giving you real-time assistance.
- Offline Messaging: If agents are offline, you can leave a detailed message with any supporting attachments, which will be logged as a support ticket.
- Ticket Traceability: All chat conversations and submitted messages are automatically logged in your "My Tickets" section for future reference.
This enhancement is available for the students and clinical instructors as well.
Viewing Student Activation Status on the Schedules and Onboarding screen
Effortlessly track student engagement and activation directly from the "Schedules and Onboarding" screen.
- Color Indicators: A green dot next to a student's name indicates an "active" user who has logged in, while an orange dot signifies an "inactive" user who has not yet accessed the platform.
This will help you identify the inactive students and re-confirm them so that the system will resend the invitation emails to those students.
The clinical instructors will also be able to view this activation status corresponding to the students of their group.
Enhancement to Freezing Columns Across Grid Views
Enjoy a more efficient viewing experience across the "View and Track Requests" and "Schedules and Onboarding" grids.
- Column Freezing: Within the "Configure Columns" drawer, you can now freeze selected columns at either the left or right side of the grid.
- A "Freeze" option ensures a selected column always remains in view, regardless of horizontal scrolling.
This grid enhancement is also brought in for the clinical instructors on their Schedules and Onboarding screen.
Enhancement for Clinical Instructors
One-time payment by Clinical Instructors Irrespective of School
Simplifying the payment process for clinical instructors associated with multiple schools:
- One-Time Payment: Clinical instructors now only need to make a single payment to access all their schedules across all the associated schools on Exxat One, eliminating repetitive payments for different institutions.
- If the payment is made for accessing the schedules assigned from a particular school, then no more payment is required to access the schedules assigned from another school.
- Clinical instructors can choose between the different schools where they are scheduled from the launch page, if payment has been made for the schedules from any of the schools.
