This release brings clearer onboarding visibility, richer schedule details, and smarter filters to help you act faster. You’ll also see new program- and experience-type-specific onboarding, an audit trail for each requirement, and alerts for expiring documents.

Program and Experience-type Specific Onboarding Requirements
See which onboarding items apply by program and by experience type so students complete the right documents the first time.
- Sites can now configure onboarding requirements not only by site/location/discipline, but also by Program Type (Undergraduate, Graduate, PhD, Pre-licensure, Post-licensure, etc.) and by Experience Type (Individual vs Group).
- When exploring an availability, you’ll see Program-specific and Experience-type-specific requirements as part of the onboarding requirements under the availability descriptions section.
- Students reviewing their schedule onboarding will also see the same program/experience-applicable requirements, so they know and fulfill exactly what to complete based on their program and the schedule’s experience type.
This helps you guide students accurately in case additional requirements are applicable for a specific program and/or experience type, avoid repeated follow-ups, and reduce last-minute compliance issues.
Viewing Location Description in Availability Details
Get a richer context about where an availability is hosted so you can make better decisions when comparing options.
- If a site has added a location description, that description now appears with the availability’s location when you explore availabilities.
- The description gives extra insight (e.g., department notes, building specifics, unit info), so you can better understand the schedule environment at that location.
This provides you with added insight on location and helps in faster evaluation of location options for your student.
Bringing Program Type & Graduation Date as part of Schedules
Program type and graduation month/year are now visible and editable in the schedule and student details.
- Program Type: If you entered a program type on the slot request, or if the site adds it while managing the schedule, you’ll now see that program type in the schedule details.
- Graduation Date: The scheduled student’s graduation month & year flows from the slot request and is visible under the Scheduled Student details. Sites may also enter or update this graduation date directly on the schedule; you’ll see and can edit it too.
This helps in easier tracking of schedules and reporting that depends on the student program or graduation date.
New Filters Across Major Screens
Five new, high-value filters help you focus on requests, groups, and schedules that need attention.
- Requests - “Requested Since” (View & Track Requests screen)
- Filter by when the request was submitted: Last 7 / 14 / 30 days or Custom range.
- Use it to prioritise recent requests or uncover long-pending ones.
- Group Schedules - “Group Filling Status” (Group Schedules)
- Filter by slot fill state: All slots filled / Partially filled / Not filled / Cancelled.
- Helps you quickly identify groups needing student assignments.
- Group Schedules - “Group-Level Onboarding Status” (Group Schedules)
- Filter group schedules by whether school requirements for the group are Completed or Not Completed.
- Useful to ensure group administrative tasks are done before starting.
- Schedules - “Student Login Status” (Group & Individual Schedules)
- Track student first-login activity: Awaiting First Login / Logged In.
- Use it to re-engage students who haven’t logged in so they don’t miss onboarding steps.
Enhanced Onboarding Requirements Screen
A focused 3-panel workflow
A redesigned onboarding workspace brings people, requirements, and requirement form details into one organised view.
Three vertical panels provide a clear workflow:
- Left panel: This shows the list of personas (students, clinical instructors) and any school requirements for the selected availability, along with their onboarding status at a glance.
- Middle panel: When you pick a persona, see their full list of onboarding requirements with due dates and current status.
- Right panel: Click a requirement to open the full guideline and form fields — you can complete and submit the requirement from here. On this panel you can also view:
- Latest comment added by reviewer for “Approved” and “Not Approved” Requirements.
- Date of last approval of an “Approved” Requirement.
- Latest sent/received message upfront.
Clinical Instructors have access to the same improved onboarding screen on their view, making CI onboarding and tracking student onboarding consistent.
This brings it all in one place to view who owes what, inspect requirement details, and fulfil items without context-switching.
Moreover, within the Onboarding Review screen, you can now also view the following details at a glance:
The latest reviewer comment for requirements marked as Approved or Not Approved.
The date of last approval for requirements with an Approved status.
The most recent sent or received message, displayed prominently for quick reference.
Introducing Audit History for Each Onboarding Requirement: Get full visibility on who did what
See the complete status lifecycle for every onboarding requirement.
For every onboarding requirement you open, you can now view a detailed audit trail showing:
- When it was first submitted and by whom, status transitions (Pending Review/Approved/Not Approved/In Progress/Expired), who changed the status, and when.
- Any reviewer's comments attached to a status update will also be visible in line with the audit.
- Audit history is available for students and clinical instructors as well.
This brings accountability and traceability for onboarding reviews, making it helpful for troubleshooting and compliance inquiries.
Viewing Expiration Status for Submitted Requirements
Never miss an expiring document!
Track expiring requirements and take action before they impact compliance.
- Requirements and/or submitted documents that have an expiration based on site configuration now display an expiration status.
- 30-day expiration alert: When a submitted requirement is within 30 days of expiring, an alert appears beside the item to prompt renewal.
- After the expiration date passes, the item shows Expired. If the schedule is still active, the requirement will need re-fulfilment to be compliant with the schedule.
- Students and CIs can also view expiration notices on their end so they can renew documents proactively.
This reduces non-compliance risk and ensures documentation stays valid for the placement duration.
