We are excited to introduce new enhancements in Exxat One for Schools that give you more control over notifications, streamline student scheduling, and improve onboarding tracking. With this update, you can manage email and in-app notifications with greater flexibility, receive automated reminders for pending student confirmations, and access key availability details more easily. We've also refined user friendliness in grid views, enhanced recommendations, and introduced improvements for nursing and consortium schools to simplify scheduling and compliance tracking. These updates are designed to make your workflow smoother and more efficient.
Enhanced Notification Configuration: Enable or Disable Email Notifications
You now have complete control over emailed and in-app notifications! The Notification Configuration screen was upgraded to enable or disable email and in-app notifications for specific events. Notifications are also categorized into four main categories: Messages, Slot Requests, Schedules, and Onboarding, making it easier to manage your preferences.
- Separate checkboxes for Email and In-App notifications for each event.
- Ability to toggle notifications for specific events such as schedule updates, slot approvals, and onboarding activities.
Category-level preferences to enable/disable all notifications under a category.
- Individual event-level preferences for granular control over notifications.
This update ensures that you receive only the most relevant updates, reducing inbox clutter and improving usability.
Automated Weekly Reminders for "Not Confirmed" Student Schedules
To help you stay on track with student placements a new notification.
- A weekly email including student names, email addresses, and site and location names. This ensures that you confirm the student schedules on time, allowing students to begin onboarding smoothly.
Viewing Location Address and Units on availability cards
Finding the right availability is now easier!
- If an availability is published at an individual location, the availability card will now display the full location address and unit details, in addition to the location name.
- Giving you location and unit information at a glance, before you move in to view the details of the availability.
Viewing "Requested By" and "Requested On" within the Slot Request Edit drawer
- Information is displayed in the Edit Request drawer, providing better visibility into request tracking.
- Details of slot request within the edit drawer on the View and Track Requests screen now display who from your school created the request along with the date and time it was created.
First Column Frozen in Grid Views
Navigating through long lists of requests and schedules just got easier! This allows you to manage placements without losing reference to key identifiers.
- View & Track Requests: The Site Name column stays visible while scrolling horizontally through all the columns.
- Schedules & Onboarding: The checkbox for confirming/re-confirming students is still in view.
Improved Recommendation Engine for Schools
We've enhanced the recommendations section on your landing page to help you find the most relevant availabilities more efficiently.
- Year Filter: View recommended availabilities based on the selected year.
- View of Recommendation Logic: Displays how recommendations are found (based on availability distance from school and/or student addresses).
- Student Count Display: See how many students match each recommended availability.
Student-Specific Feature Releases
Automated Email Reminders for Students' Due and Overdue Onboarding Requirements
To ensure students complete their onboarding requirements on time, Exxat One now sends:
- Twice-weekly emails beginning 30 days prior to placement start date reminding students to complete the pending onboarding tasks to become compliant for the schedule.
- Reminder emails stop when all onboarding tasks are complete.
- Overdue reminders for unfulfilled requirements past the due date.
Nursing Discipline Enhancements
Group-Level Onboarding Requirement Visibility
Easily find group schedules that require group-level onboarding submissions from you.
- An info icon next to the onboarding status in the group schedule row will show that one or more group-level requirements must be fulfilled for the compliance of all group members of the schedule.
Note: This info icon feature is being implemented and will go live on 9th April 2025. Stay tuned for updates! - Once all group-level requirements are submitted and approved, a "Group Requirements Completed" label will appear, confirming the completion of the school’s part of fulfilling the requirements.
Group Name Visibility in Group Schedules
Easily track assigned groups in the Group Schedules grid with the newly added Group Name column.
- Sites can edit the group name, and changes will be instantly reflected in the grid.
Student View of Clinical Instructor Details in Group Schedules
- Students assigned to group schedules can now see their Clinical Instructor’s name, email and contact number in the Schedule Details page, as per the information filled in by the school about the clinical instructor.
Enhancement Features for Consortium
Payment Capability for Consortium Students to Unlock Schedules
- Students from consortium schools with confirmed schedules at consortium sites can now make a one-time payment directly from the platform.
- After payment, students gain access to their schedule details and onboarding requirements at all placements within. that consortium.
Enhanced Site Selection for Consortium and Non-Consortium Schools
For a more streamlined experience, site selection filter dropdowns will now only display:
- Consortium-affiliated sites for schools within a consortium.
- Non-consortium sites for schools outside a consortium.
