- At rotation level recommendations are for all upcoming rotations which need immediate attention, helping coordinators plan efficiently.
- At student level; tailored recommendations for unplaced students, making it easier to match them with slots based on preferences and site options.
Availability Landscape
- A heatmap by state shows distribution of availabilities, adjusting to reflect real-time availabilities.
Similar Availabilities
- While reviewing availabilities, schools can now view a list of closely matching alternatives for comparison.
Smarter Search and Filters
- Availability Name Search is available for individual assignments, helping coordinators locate opportunities faster.
- The Published Date filter on Explore & Apply lets schools see availabilities from the last 7, 14, and 30 days or create a custom range.
- On the Upcoming Schedules screen, a Starting In filter displaying those starting in the next 30, 60, and 90 days or custom range highlights what’s starting soon.
- Request Pending Duration filter shows how long requests have been waiting for site approval: less than 7, 7–15, 15–30, or greater than30 days.
- The Group Schedules screen now remembers your sort order, page number, and expanded rows when you return to it.
- You can use the Includes School Requirement filter on the schedules screen to view schedules based on whether they require any requirements to be fulfilled by school administrators.
Explore & Apply — Map and List Views
- A new List View complements the existing Map View, showing availabilities in a scrollable card format.
- All search and filter options apply to both views.
- Switching between Map and List retains results, so coordinators can pick whichever view works best without losing context.
Matching Recommendations While Requesting
- When reviewing an availability, schools now see recommended alternatives that closely match discipline, specialization, dates, and location.
- Recommendations are based on factors such as distance, program match, and existing partner status.
- Results appear in priority order, helping you evaluate backup or comparable options quickly.
Updates to Slot Request Form
Enhanced Rotation Request Alerts
Schools will now see an informational alert when selected rotation dates fall partially or fully outside a site’s availability window.
- The alert is non-blocking; users can still submit the request with the final decision resting with the site.
- The alert auto-closes after a few seconds but can be dismissed manually.
- Applies to both new rotation requests and edit requests.
Days of Week Field
- The Days of Week field in the Slot Request form now displays all options set by the site without pre-selecting values.
- Schools can manually select one or more days based on their needs.
- Applies when a site has enabled Days of Week as a request field when setting up availability.
Activities Dashboard
Track requests, schedules, and onboarding from a single page.
- Dashboard cards summarize requests approved, declined, pending, and current confirmed schedules.
- Pie charts show schedule pipeline; Confirmed, Not Confirmed, To Be Scheduled, Cancelled and onboarding readiness; Compliant, Some Action Needed, andNot Started.
- Bar charts display aging requests and pending confirmations, with alerts when items are overdue or starting soon.
- Summary of group schedules pending faculty assignment or compliance
- Display of students/faculty awaiting first login
Recent Activities Feed
- Logs all critical events: requests submitted, approvals/rejections, schedule updates/confirmations and cancellations.
- Entries include who did what, when, and for which availability or schedule.
- Click-through links open directly into the relevant record for quick follow-up.
Reports — Site-Wise Engagement
A new Site-Wise Engagement Report shows request volumes, approvals, declines, and pending actions, plus approval/confirmation rates and timelines.
- Utilization metrics such as confirmed slots, student counts, and ongoing, upcoming, and completed schedules.
- Filters for timeline, experience type, and approval/confirmation performance.
- Export to CSV/XLSX, with editable columns.
Clear Identification of Mandatory Requirements and Activities
- Onboarding, ongoing, and offboarding items now display a Mandatory indicator (icon/asterisk) next to requirements or activities marked as mandatory by the site.
- The mandatory indication is visible to students, schools, and faculty, enabling efficient tracking of compliance and progress.
Enhancements for Students
This release is built to give students a smoother placement experience with more clear onboarding requirements and activity tracking.
Employee Verification — OTP Based
- Students can now verify themselves as employees at a site using their institutional email.
- Once verified, onboarding and payment flows adapt automatically based on site configuration.
- Sites may choose to: skip payment and onboarding entirely (or show only custom employee requirements) for student employees.
Mandatory Requirements Clarified
- Mandatory requirements across onboarding, ongoing, and off boarding are now marked with a clear indicator.
- Know what’s essential versus optional.
Activity Notifications
- New Activity Assigned: receive in-app and email notifications when a new activity is assigned with due dates.
- Due Date Reminder: get notified one week before the activity due date.
- Overdue Alerts: in-app and email reminder if an activity remains incomplete past its due date.
- Approval Updates: be informed when submitted activities are approved or not approved, including guidance for next steps.
Enhancements for Clinical Instructors
Clinical Instructor Employee Declaration
- Clinical Instructors (CIs) can now declare if they are employed for schedules, using institutional email verification via OTP.
- Once verified, the site’s employee onboarding rules apply.
